Job Summary/Basic Function

Reporting to Assistant Vice President University Police & Chief of Police, coordinate the department’s administration system and general workflows; support and participate on the University Police supervisory Command staff; analyze, maintain, and reconcile department and grant budgets; participate in budget planning and revisions. Propose funding for acquisitions of operating equipment and supplies, prepare requisitions, sole source justifications and payment authorizations. Responsible for compiling and summarizing data and creating fiscal and program reports. Supervise and manage workflow and schedules for full-time administrative office staff well as student workers assigned to administrative offices. Oversee the department's Office Coordinator tasked with maintaining police records and distributing police reports in compliance with public records statutes and university policies and guidelines. Administer and approve department payroll for sworn, civilian, student and temporary hourly employees. Report and approve leave for administrative employees. Perform all department invoicing and billing. Provide administrative support to Chief of Police and perform other special projects as assigned.

Required Education

Bachelor's degree required.

Note: A High School diploma or High School Equivalency (HSE) and six (6) years progressively responsible secretarial, clerical, administrative, or bookkeeping experience may be considered in lieu of the bachelor's degree requirement.

Required Related Experience

Five years progressively responsible administrative, office management, budget, payroll and
bookkeeping experience. Computer proficient and experience with various software programs. General accounting knowledge.

Required License/Registration/Certification

Valid Tennessee Driver License

Desirable Related Experience

Two years of progressively responsible secretarial/clerical/administrative responsible secretarial, clerical, administrative, or bookkeeping experience. Computer proficient and experience with various software programs.

Desirable License/Registration/Certification

CAP certification
